Option to create all meetings online for Outlook on the web and Outlook mobile

Outlook on the web users will soon be able to configure Outlook to setup all their meetings as “online meetings” when they use Skype or Teams as their online meeting provider.

This message is associated with Microsoft 365 Roadmap IDs 6338363625 and 63628.

When this will happen

  • We will begin rolling out Outlook on the web the end of May.
  • We will begin rolling out Outlook mobile the first of June.
  • The rollout will be complete by end of July.

PowerShell scripts are currently available which allow you to enable this for all users. Should you enable it now, when the user-level feature is deployed to your tenant your users will have online meetings set-up as default for all their meetings.How this affects your organization

When this feature is enabled, users can update their settings so all meetings created through Outlook on the web and Outlook for iOS and Android will be created as online meetings and will contain the appropriate Teams or Skype information for joining the meeting. This feature is not compatible with third-party online meeting providers.

  • If users choose not to enable this option, each time they create a meeting they will have the option to add an online meeting provider to that meeting.
  • If users choose to have all their meetings automatically created as online meetings, they can still disable the online meeting toggle (Teams or Skype) when creating a meeting if desired.
  • The online meetings setting roams between Outlook on the web and Outlook for iOS and Android so when a user enables it in one, it is honored in the other ones.

A user can set the default to create all meetings automatically as online meetings in Calendar settings in Outlook on the web, as shown here.

 What you need to do to prepare

If you want your users to individually have the option to enable all their meetings as online meetings, there is nothing you need to do.

If you want to make online meetings the default for your organization, please configure your tenant in PowerShell with these parameters:Set-OrganizationConfig -OnlineMeetingsByDefaultEnabled $True
//This sets all Outlook on the web and Outlook mobile
//meetings in the organization to online by default

Set-OrganizationConfig -OnlineMeetingsByDefaultEnabled $False
//This is the default value
//Meetings are not online by default

If you set the parameter to $True, both Outlook on the web and Outlook mobile will honor the setting.
